What is the typical timeline for planning an event with Innovent?

We recommend starting as early as possible in the planning process. For larger conferences and multi-day programs, planning often begins several months in advance to allow time for technical design, venue coordination, and content integration. That said, we regularly support shorter timelines when needed and will clearly outline what is achievable based on schedule and scope.

How does Innovent’s approach differ from other AV and production companies?

We focus on integrating disciplined processes around client outcomes. We take time to understand our clients’ goals, priorities, and the experience they want their attendees to have, then design and execute systems that support those outcomes. We primarily support corporate meetings, conferences, leadership programs, national sales meetings, medical investigator meetings, fundraisers, and large-scale live events. Many of our projects involve complex programming, multiple speakers or sessions, and environments where clarity and consistency are critical to the success of the event.

Yes. We regularly collaborate with agencies, internal event teams, venues, and other partners. Our role is to integrate cleanly into the broader planning structure while maintaining clear ownership of the technical environment and execution.

How flexible is Innovent with last-minute changes?

Live events often require adjustments. Our systems are designed with flexibility in mind, and our teams operate within defined workflows that allow changes to be made calmly and efficiently. Because planning and rehearsals are thorough, most adjustments can be handled without disruption to the program.

What technical capabilities and systems does Innovent provide?

Innovent designs and manages integrated video systems including LED walls, projection, IMAG, and camera support, audio systems for reinforcement and communications, lighting design and control, and supporting systems such as staging, rigging, scenic integration, show control, and technical staffing. Each system is planned and operated as part of a cohesive whole rather than as a standalone element.

How does Innovent ensure consistency across multi-day or multi-session events?

Consistency is achieved through disciplined planning and repeatable system design. Cue structures, lighting positions, video layouts, and control workflows are established during rehearsals and carried through each session. This allows the environment to reset precisely and perform reliably across days or repeated programs.

What does on-site execution look like on event days?

On show days, Innovent manages the technical environment through a coordinated team structure. Lighting, video, audio, and show control operate together from a central plan. Our goal is to keep execution calm, predictable, and responsive so presenters and planners can focus on the program itself.
